1. Current Situation…Statement Recall and Archival

An organization has 10,000 customers it bills every second month. They have their statements produced and mailed by an outside print house.

Each print run of statements is returned to the organization by the print house on disk at an added cost. When CSR’s need to view a statement, they have to locate the disk the statement is on, load it onto a PC and then search for the appropriate file. If a client has requested a copy, the CSR will have to print it on their local printer and mail it to the client.

For long term archival and disaster recovery purposes, the organization has to store all of the statements at an outside facility (ideally two). Storing and recall of records from the outside facility is time consuming and expensive.

Every time the print house prints a statement run, have them electronically transfer the print data stream directly to FileNexus® – where it will be automatically indexed, secured and redundantly archived in the identical format it was printed.

When a CSR requires a statement, a few key strokes are all that are required to recall it virtually instantly. Once it’s recalled, the CSR can email, fax or print it for the client as required – right from the desk top, something like this:

Based on the 10,000 customers above and assuming 5 CSR’s required access to the files, the initial set-up fee for the project would be about $6,900.00 and the cost per month thereafter would be about $650.00 – on a month by month basis. Taxes extra.

2. The Organization Would Like to Make Statements Available Online

Rather than having clients call CSR’s to get their bills – the organization wants to make statements available on-line to their entire client base (even the ones who had a statement delivered by mail). They already have a client facing web site interface.

How Much Extra Would That Cost…?

Based on the 10,000 customer base above, the cost for unlimited recall of statements by all clients would be about $960.00 per month ($1.00 per client per year) – on a month by month basis. One time project roll out cost would be approximately $6,900.00. Taxes extra.
